Code of Conduct

Effective Date: 29 Sep 2024

 

Failure to adhere to this code of conduct may result in disciplinary action, including suspension or termination of membership, as determined by the KAP leadership in accordance with the association's bylaws.


By maintaining your membership with KAP, you acknowledge that you have read, understood, and agree to abide by this Code of Conduct.

As a member of the Kerala Association of Poland (KAP), you agree to adhere to the following code of conduct:

Respect and Inclusivity

• Treat all members, guests, and associates of KAP with respect, regardless of their background, origin, or beliefs.
• Foster an inclusive environment that celebrates the diversity of our community.
• Refrain from any form of discrimination, harassment, or bullying.

Commitment to KAP's Mission

• Support and actively participate in KAP's initiatives to promote Kerala culture in Poland.
• Contribute positively to the growth and development of the Kerala community in Poland.
• Uphold the reputation and integrity of KAP in all your actions and interactions.

Legal and Ethical Conduct

• Abide by all applicable laws and regulations in Poland.
• Maintain honesty and transparency in all dealings related to KAP.
• Avoid conflicts of interest that may compromise the integrity of KAP or its activities.

Responsible Participation

• Actively engage in KAP events and activities when possible.
• Fulfill any commitments made to KAP or its members in a timely manner.
• Provide constructive feedback and suggestions to improve KAP's operations and initiatives.

Confidentiality and Privacy

• Respect the privacy of fellow members and protect any confidential information shared within KAP.
• Adhere to GDPR guidelines in handling personal data of other members.

Cultural Sensitivity

• Show respect for Kerala culture and traditions, as well as Polish culture and customs.
• Promote cultural exchange and understanding between Kerala and Poland.

Communication

• Engage in respectful and constructive communication with all KAP members and officials.
• Use official KAP communication channels responsibly and appropriately.

Financial Responsibility

• Pay membership fees promptly and honor any financial commitments made to KAP.
• Be transparent about any financial transactions related to KAP activities.

Representation of KAP

• When representing KAP in any capacity, do so in a manner that upholds the association's values
and reputation.
• Seek appropriate authorization before speaking on behalf of KAP in public forums or to the media.

Compliance and Reporting

• Report any violations of this code of conduct to the appropriate KAP officials.
• Cooperate fully in any investigations related to code of conduct violations.

Continuous Improvement

• Stay informed about KAP's policies, activities, and updates.
• Participate in member education and development programs when offered.

Collaboration with Other Cultural Associations

• Support and participate in partnerships and joint activities with other cultural associations and
groups in Poland to foster unity, diversity, and multicultural understanding.
• Engage in peaceful resolution of any conflicts or disagreements that may arise between KAP and
other cultural associations, through mediation or dialogue.
• Actively support initiatives that promote understanding of different customs and traditions from
various cultures, contributing to cross-cultural awareness and unity within the diverse communities
in Poland.
• Represent KAP positively in interactions with other cultural associations, promoting a spirit of
cooperation, mutual respect, and cultural exchange.
• Embrace opportunities to learn from and share experiences with members of different cultural
backgrounds, enriching the multicultural fabric of Poland.
